Certificate privacy notice

Integy Certificate Portal collects signed resale certificate PDFs for staff review and company-location tax exemption processing.

Information collected and used

We store the original PDF, signer name, selected state, Shopify customer name and account display name, company name, location name, shipping and billing addresses, customer and company-location identifiers, submission time, file checksum, and processing and review history. We use these records to process the requested exemption, review certificates, resolve problems, and maintain business records. Upload only information necessary for your resale certificate.

Storage and staff access

Documents and submission records are stored in private cloud storage. The portal sends a PDF copy and submission details to Integy’s designated office mailbox for review. Authorized staff and the hosting and email providers process this information for these purposes. Documents are not made publicly downloadable.

Google email connection

An authorized Integy operator connects the office Gmail account. The portal requests permission to send email through that account to deliver certificate submissions to the office. It does not request permission to read or delete mailbox messages. Google authorization credentials are stored as server-side secrets. Customers do not need to connect a Google account.

Google account access is used only for this email-delivery function, not advertising or sale of Google account data. Integy Certificate Portal’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Retention and requests

Certificates, email copies, and review records are retained for tax administration and business recordkeeping. This portal does not currently delete them automatically. Contact Integy through customer support to request access, correction, or deletion; applicable recordkeeping obligations may limit deletion.

Review and signatures

Technical file screening does not establish the authenticity of a signature or the legal validity of a certificate. Staff review follows submission. A provisional exemption may be corrected after review.
